Who we are

Vaasara ("we", "us") is a scent design business based in Chennai, Tamil Nadu, serving events and venues across India. We decide how the personal data described here is used, so under Indian law we are its "data fiduciary". You can reach us at info@vaasarahouse.in or on +91 73058 25365.

The short version

• This website sets no cookies unless you accept them. If you do, Google Ads cookies tell us which of our ads led to an enquiry. If you decline, nothing from Google loads.
• When you press "Send an enquiry", the details you typed are stored securely in our own enquiry database and a private Google Sheet, so a scent designer can reply, and we send you one email confirming we have them. If you choose WhatsApp or email instead, the website opens that app with a message you can read and edit, and stores nothing.
• We use what you send only to reply to you, prepare a quotation and deliver what you book. We never sell it or use it for advertising.

What we collect

What you send us. When you contact us through the enquiry form, the Scent Builder, WhatsApp, email or a call, we receive what you choose to share. This is usually your name, phone number, email, city, event type and date, guest numbers, venue size, scent preferences and any message. If you order a Discovery Box we also need a delivery address. For bookings we may need billing details such as a GST number and business address.

Technical data. Our website is hosted by Cloudflare. Like any web server, it briefly processes your IP address and basic browser information to deliver pages and protect the site from abuse. Cloudflare Web Analytics counts visits and pages viewed without cookies and without building a profile of you. When you send an enquiry, we keep a one-way scrambled code of your IP address (not the address itself) for a short time, only to block repeated spam submissions; it cannot be turned back into your address. We do not use this data to identify or profile you.

What we do not collect. We do not ask for payment card details, government ID numbers, health data or any sensitive personal data through this website.

How we use it

• To reply to your enquiry, and to send you one automatic email confirming we have received it.
• To prepare quotations, deliver services and Discovery Boxes, and service venue subscriptions.
• To send invoices and keep records the law requires, such as GST and accounting records.

We process your data because you have chosen to give it to us for these purposes (your consent), or because we need it to carry out a booking you asked for, or to meet a legal obligation. We will not send you marketing messages unless you separately ask us to. On the enquiry form that is a separate tick box, left unticked; if you tick it, we may send occasional emails about scent ideas and our launch, and every one lets you unsubscribe.

Cookies and Google Ads

We advertise on Google. When you first visit, we ask whether you accept advertising cookies. Only if you press "Accept" does our site load the Google Ads tag. It sets cookies (such as _gcl_au) and sends Google technical data: your IP address, browser and device details, the pages you visit here, and whether you started an enquiry by WhatsApp, email or phone. It does not send what you type into our forms. Google uses this to measure which ads work and may use it to show you our ads on other sites (remarketing), under Google's privacy policy.

If you press "Decline", no Google code loads and no cookies are set. You can change your choice at any time with Cookie settings, also in the footer of every page. Withdrawing consent removes our Google Ads cookies from this browser. Your choice itself is remembered in your browser's local storage so we don't ask on every page. You can also control ad personalisation in Google's ad settings.

Who we share it with

Only the service providers we need to run the business, and only what each needs:

• WhatsApp (Meta Platforms), if you message us there. WhatsApp's own privacy policy also applies to that conversation.
• Our email providers (Cloudflare for routing and Google for our mailbox), if you email us.
• Cloudflare and Google Workspace, which store the enquiries sent through our website form (Cloudflare's database and a Google Sheet only our team can open) and send your confirmation email from our Google mailbox.
• Google Ads, only if you accept cookies, as described above.
• Courier partners, who receive your name, address and phone number to deliver a Discovery Box or order.
• Our accountant and authorities, where tax or other laws require it.

Some of these providers may store data on servers outside India. They are established companies with their own security standards, and we share only what is needed.

How long we keep it

Enquiries sent through the website form are stored in a database run on Cloudflare (Cloudflare D1), which may store data outside India. If an enquiry does not lead to a booking, we delete it within 12 months of our last conversation, or sooner if you ask. If you book with us, we keep your details for as long as the service continues and then for the period tax and accounting laws require.

Your rights

You can ask us at any time to:

• tell you what personal data we hold about you and how we use it;
• correct, complete or update it;
• delete it, unless we must keep it by law;
• withdraw your consent, as easily as you gave it. This does not affect what we did before you withdrew it, but we may not be able to continue a service without the details it needs;
• nominate another person to exercise these rights for you if you die or become unable to do so.

Write to info@vaasarahouse.in with the subject "Privacy request". We will reply within 30 days. If you are visiting from outside India, you may also have rights under your local law; contact us and we will help.

Questions and complaints

Keeping it safe

The website runs only over encrypted HTTPS connections, loads no third-party code unless you accept cookies, and sends strict security headers. Only the people who handle your enquiry or booking can see your details; the enquiry database can be opened only with a private access key. If a breach affecting your data ever happens, we will tell you and the authorities as the law requires.

Children

Our services are for adults arranging events and venues. We do not knowingly collect personal data from anyone under 18. If you believe a child has sent us their details, contact us and we will delete them.

Changes to this policy

If we change how we handle personal data, we will update this page and the date at the top. Significant changes will be shown on our home page.
